How to Respond to Google Reviews: Templates for Every Star Rating (2026)

What to say to 5-star fans, 3-star fence-sitters and 1-star complaints. Copy-ready Google review reply templates, the mistakes to avoid and how to keep up across locations.

Your Google reviews are public, permanent and often the first thing a new customer reads. Your replies are read too, by the reviewer and by everyone deciding whether to visit.

Good replies don't need to be long. They need to be fast, specific and human. Here's how to write them, with templates for every star rating.

The rules of a good review reply

  1. Reply to every review, not just the bad ones. A thank-you under a 5-star review shows future customers there's a person behind the business.
  2. Reply within a day or two. A complaint answered three weeks later reads like an afterthought.
  3. Be specific. Mention what they mentioned: "the pistachio croissant", "Dr. Ito", "the evening shift".
  4. Never argue in public. Acknowledge, apologize where it's fair, and move the details to a private channel.
  5. Don't paste the same reply everywhere. Fifty identical "Thanks for your feedback!" replies look automated, because they are.
  6. Keep personal details out. Don't confirm someone was a patient or client, and don't share order or booking details.

Templates for 5-star reviews

Thank you, Name! We're so glad you loved the specific item. See you next time. — Your name, Business

Name, this made our team's day. Thanks for mentioning staff member; we'll make sure they see it!

Tip: if the review mentions a product, say its name in your reply. It reads as more personal and reinforces what you're known for.

Templates for 3 and 4-star reviews

These are your most persuadable customers. Thank them, and show you heard the "but".

Thanks for the visit and the honest feedback, Name. You're right that issue wasn't up to our standard. We've what you changed. We'd love to see you again.

We're glad you enjoyed positive, and sorry the issue let you down. If you're up for it, ask for me next time and I'll make sure it's right. — Your name

Templates for 1 and 2-star reviews

Stay calm, take responsibility for what's yours, and offer a way to resolve it privately.

Name, I'm sorry about your experience with issue. That's not what we want for anyone. Please email us at address so we can make it right. — Your name, Role

Thank you for telling us. We've looked into issue and what you found or changed. We'd appreciate the chance to do better; reach us at address.

When the review isn't genuine (spam, the wrong business, someone who was never a customer): reply briefly and factually ("We have no record of this visit; please contact us at…"), then report the review on Google. Businesses can't delete Google reviews themselves; only Google can remove reviews that break its policies.

Editing a reply you've already posted

Each review can have one owner response. Replying again replaces your previous response, so you can fix a typo or add an update ("We've since extended our weekend hours").

Keeping up when you have many reviews

For one location, Google's own interface is fine. With several locations, or alongside Instagram and Facebook comments, it stops being fine.

In the AutoPoster AI inbox:

  • New reviews from every location sync into one list, with the star rating shown up front.
  • AI drafts a reply in your brand voice, using your knowledge base for facts like opening hours or return policies. You edit or approve.
  • You can let AI reply automatically to the categories you choose (for example, thank-yous for positive reviews) and keep complaints for a human.
  • The Reviews filter shows only Google reviews, separate from your social comments.
